Good variant inventory starts before you type a single count. The options you create, the SKUs you give them and the choices you leave out of variants decide whether your stock numbers stay manageable or turn into a spreadsheet nobody trusts.
Plan your variants first
A variant should exist only when it's a different physical item on your shelf. Size, color and material usually qualify. A buyer's name, a font, a gift message or a photo don't: they're instructions for making the item, not separate stock.

Shopify now allows up to 2,048 variants per product (see our 2,048 variant limit explainer), but every extra variant is another count to maintain. With Print It My Way, personalization choices are saved as line-item properties on the order, so your variant list stays as short as your actual stock.
Give every variant a SKU
Before entering counts, assign a SKU to each variant. A readable pattern such as product, color, size (TEE-BLK-M) makes stock counts, reorders and warehouse syncs far easier. If the item has a manufacturer barcode, add it too. Our variant SKU naming guide covers patterns that scale.
Enable per-variant tracking
- Open the product, click a variant, and tick "Track quantity" in the Inventory section.
- Enter the quantity you have right now. Count it physically rather than copying an old number.
- Choose the policy at zero: stop selling, or keep selling for preorders and made-to-order items.
- Repeat for each variant, or use the bulk methods below.
Setting up many variants at once
For a new product with dozens of variants, the bulk editor in the Shopify admin lets you fill SKUs, prices and quantities in a grid. For a whole catalog, a CSV import is faster: export your products, fill the SKU and inventory columns in a spreadsheet, and import the file back. Multi-location inventory
Every Shopify plan can hold stock at multiple locations; the maximum depends on your plan. Each variant gets its own count per location, and your order routing settings decide which location ships each order. Only add a second location if stock physically sits in two places.
Continue selling when out of stock
Use this for preorders and made-to-order products. The customer can still order at 0 inventory, so set expectations in the product page copy, such as "Ships in 5 days." Leave it off for anything with a fixed supply, or you'll create backorders without meaning to.
Low-stock alerts
With Shopify Flow you can send an email to your purchasing contact when a variant drops below a threshold, such as 5 units. Pick the threshold from your restock time and sales speed, not a round number.
Worked example: a personalized tumbler
A store launches a 20 oz tumbler in five colors with engraved names. The setup:
- One option, Color, with five values. That's five variants, SKUs TMB20-BLK, TMB20-WHT and so on.
- Tracking on, counts entered from a physical count, and selling stops at zero.
- A Print It My Way text field for the name (up to 16 characters) and a font picker with five fonts, with live preview on the tumbler photo.
- A Flow alert at 8 units per color, since blanks take about a week to arrive.
Five tracked variants cover every possible name and font combination. When a color sells out, the team can cross it out on the product page or hide out-of-stock variants until it's back.
Setup mistakes to avoid
- Personalization as variants. Ten fonts times five colors is fifty variants to count for no reason.
- Blank SKUs. They make every later sync and report harder.
- Copying old counts. Start from a physical count so your first numbers are right.
- Forgetting new variants. When you add a color later, check that tracking is on and a count is entered.
Frequently asked questions
How to track inventory per Shopify variant?
Open each variant, tick "Track quantity" in the Inventory section and enter the current count. Shopify then lowers the count automatically when orders are placed.
Should I track inventory or continue selling?
Track quantity for physical goods with a fixed supply so you don't oversell. Allow selling past zero only for made-to-order items and preorders, with a clear ship date on the page.
How to set inventory across multiple locations?
Add your locations in Settings, then enter a separate count for each location on every variant. Your order routing settings decide which location ships each order.
How to set low-stock alerts?

Yes, through a theme setting or an app. Many stores prefer to show sold-out variants crossed out instead, so buyers know the option exists and may come back.
How to import variant inventory via CSV?
Export your inventory or products, update the quantity column in a spreadsheet and import it back. For smaller changes, the Inventory page in the admin lets you edit counts directly.
What if I sell more than inventory allows?
The count goes negative and you have an order you can't fill right away. Contact the buyer with a restock date or a refund, and set limited items to stop selling at zero.
Does POS decrement Shopify inventory?
Yes. POS and online sales share the same counts. Assign each POS device to the correct location so the right count goes down.
