Bulk Edit Shopify Variants

If you are changing more than a handful of variants, stop clicking into them one at a time. Shopify gives you three tools for this: the bulk editor inside the admin, the product CSV export and import, and Shopify Flow for edits that repeat on a schedule or a trigger. Most of our merchants use the first two every week and only reach for Flow once a store has a few hundred SKUs.

Here is how each one works, which one to pick for a given job, and the mistakes we see most often in support tickets.

Native Shopify bulk editor

The bulk editor is a spreadsheet view of your products and variants that lives inside the Shopify admin. It is the fastest option for changes you can see on one screen, like raising the price of every Large hoodie by $2.

1. Go to Products and filter the list down to the products you want to change (by vendor, product type, tag or collection).
2. Tick the checkbox at the top to select them, then click Bulk edit.
3. Use Columns to add the fields you need: Price, Compare-at price, SKU, Barcode, Weight, Inventory or Cost per item.
4. Edit cells inline. You can paste a column of values from a spreadsheet, which is handy for price lists.
5. Click Save and spot-check two or three variants on the storefront.

Each variant gets its own row, so a T-shirt with 4 sizes and 5 colors shows 20 rows. Sort by the option column before pasting so your values land on the right variants.

CSV export + Excel edit

For larger changes or anything that needs a formula, export the product CSV, edit it in Excel or Google Sheets, then import it back with Overwrite products with matching handles turned on. This is the right tool when you are touching hundreds of variants or several products at once.

A few rules keep the import clean:

• Never edit the Handle column. Shopify uses it to match rows to existing products.
• Keep option names and values exactly as they are unless you mean to change them. A stray space creates a new value, and two rows with the same combination trigger the duplicate variant error.
• Delete the columns you are not changing before import. Fewer columns means fewer chances to overwrite something by accident.
• Save a copy of the untouched export first, so you can roll back if a formula goes wrong.

Since Shopify raised the cap to 2,048 variants per product, a single product can now produce a very long CSV. Filtering in the spreadsheet before you edit makes these files much easier to work with.

Which method to use for which job

Shopify Flow for automation

Shopify Flow is Shopify's free automation app. Use it for edits that should happen whenever a condition is met, for example: when a variant's inventory drops below 5, add a tag or send an email to whoever reorders stock. Flow is not a replacement for one-off bulk edits, but it removes a lot of repeat admin work. Our guide to Shopify Flow with variants has ready-to-copy workflows.

What can't bulk-edit

Variant images are the main gap in the bulk editor. You assign them per variant on the product page, or through the Variant Image column in a CSV import, which takes an image URL. Metafield values can be added as bulk editor columns for some definitions, but complex types are easier to change one product at a time or with an app.

Native CSV import also cannot delete variants. To remove variants in bulk, open the product, tick the variants you want gone and choose Delete variants.

Worked example: a mug store price rise

Say you sell an 11 oz mug in 6 colors and a 15 oz mug in the same 6 colors, and your print partner just raised costs. You want 11 oz mugs at $18.99 and 15 oz mugs at $22.99. Filter Products by type "Mug", open the bulk editor, sort by the Size option, paste $18.99 into the first 6 rows and $22.99 into the next 6, then save. That takes about five minutes for 12 variants.

If those mugs also carry a personalized name, keep that out of the variant list entirely. A text field on the product page saves the name as a line-item property, so you never multiply variants for it. If you sell many personalized products, you can also apply personalization fields to multiple products at once instead of editing each one.

Common mistakes

• Mixed weight units. One variant in grams and the rest in pounds breaks shipping rates. Pick one unit and stick to it.
• Editing compare-at instead of price. Both columns sit side by side. Check the header before you paste.
• Importing without a backup. Keep the original export so a bad import can be reversed.
• Using variants for things that are not stock. Gift wrap, engraving text and rush delivery belong in product options, not variants. Our comparison of options apps vs native variants explains where the line sits.
